The smartphone has become one of our most beloved devices. Like a favorite pet, we take it everywhere with us, show it off every chance we get and even use it as a way to conform or stand out. No matter which brand you have, you probably have important information stored on your phone, and should be taking steps to ensure that it’s secure from prying eyes.

Whether you have an Android, iPhone or Windows Phone 7, here are two tips to keep your smartphone secure:

Lock your screen If you have data or information on your phone you would like to keep secure, the first thing you should do is lock your screen. Most smartphone users lock their phone with a 4 digit number combination, but it’s recommended you use a password for higher security.

  • On Android. To establish a password on your device go to Settings and select Security. Press Screen lock. On Ice Cream Sandwich, you have six options for security, with the least secure at the top and most secure at the bottom. Many users select Pattern or Password. Enter the password twice and press Confirm.
  • On iPhone. Select the Settings app followed by General. From there select Passcode Lock and turn it on. You’ll be asked to set your passcode and confirm it.
  • On Windows Phone. To set a passcode go to the home screen of your device. Open Settings from your Application list and select Lock & Wallpaper. Press Password, enter your password and then press Done.
It’s recommended that you set a password that’s unique. Don’t use your birthday, address or phone number. At the same time, you have to make it easy to remember. If you’re having trouble coming up with a password, this video by Mozilla is a big help.

Enable remote wipe While passwords and other security codes will go a long way in preventing others from accessing your phone, it often isn’t enough. The next step in device security is to set up the ability to remotely wipe your device.

  • On Android. At this time there is no native remote wipe option on your phone. You’ll have to download an app from the Play store. The apps work by using a push service - you “push” the commands to your phone from another source i.e., a website. When you install the app, you’ll have to register your phone and access it from a website.
  • On iPhone. The iPhone has remote wipe capabilities which can be accessed through iCloud. On your device select Settings, iCloud and turn on Find my iPhone. If you lose your phone log into iCloud and select Find my iPhone. From there you’ll be able to remotely wipe your device.
  • On Windows Phone. If you lose your phone you can remotely wipe it by going to the Windows Phone website, logging in and selecting My Phone. From there you’ll be able to wipe your phone.
Even if you don’t have confidential information on your phone, it’s a good idea to, at the very least, set a solid passcode on your phone. Adding the ability to remotely wipe your phone will ensure the information won’t be viewed by other people. If you’d like other ways to keep your mobile phone secure, please contact us.

As a follow up to our post defining the acronyms and terms commonly used in ERP and CRM software implementations, we’ll continue with some technical and cloud terms. When in doubt, ask your vendor to clarify the terms they are using. In their excitement to show you the latest advancements, vendors sometimes forget that not everyone lives and breathes technology.

Technical Terms You Should Understand

SQL. Structured Query Language, commonly pronounced “sequel”, is a relational database system whose primary function is to store and retrieve data as requested by other software applications.

Workflow. A sequence of connected procedural steps that are automated through the ERP or CRM system. For example, a workflow for purchase requests could automatically route POs over a defined value to a supervisor for approval before processing.

Customization. Programming that adds functionality to an ERP or CRM system to meet unique needs of an organization. ERP systems are written to offer functionality that most companies need and don’t include industry-specific functionality. Customizations can automate processes that companies need to fulfill an industry or process specific requirement.

Integration. The connection between two systems that allows for the flow of data from one system to another, or reciprocally between the systems. For example, a company’s storefront website is usually integrated to the ERP so that inventory availability is updated on the website, and transactions completed on the website flow back to the ERP.

Cloud Terms Explained

Cloud Computing. In terms of ERP and CRM, cloud computing means that users access the software through the Internet or via a remote connection.

Hosting. The ERP or CRM software application is housed and managed by a cloud services provider. Application support includes installation, upgrades and user configurations. Application licenses can be owned or rented (subscription).

SaaS, Software as a Service. The software publisher delivers the application via the Internet to users on a subscription basis.

Hybrid. Hosting services built to suit unique business needs. For example, a company owns their servers but houses them in a secure hosting facility, and receives operating system and application support from the hosting provider.

Private Cloud. Infrastructure supporting the cloud delivery of applications that is dedicated completely to one customer.

Public Cloud. Infrastructure supporting the cloud delivery of applications, that is shared or “multi-tenant”, serving a variety of businesses, individuals or groups.

Social media is one of the most important communication tools of the modern era. Companies use it to connect with customers and like minded individuals, all in the name of building trust in their brand and products. While almost every company has a social media presence, they have been slow to trust employees to use personal social media at work. On average, 31% of companies block employees from accessing their accounts.

There are four distinct advantages to allowing social media:

  • Increased productivity. There have been a number of studies that have found that judicious use of social media in the workplace will actually increase productivity. A study conducted by the University of Melbourne found that employees with access to social media are 9% more productive than those without.
  • Increased buy-in. Employees like to feel trusted and empowered. If they don’t you can expect to experience higher turnover and lower morale. A good way to gain trust is to allow employees to use social media in the workplace. If an employee feels like they are trusted, they’ll be more likely to stay with the company.
  • Recruiting. Small businesses have started to use social media for recruitment, but limit efforts to one account. If you have 10 employees in your organization, each with a social media account with 100 friends, you have the potential to reach 1,000 people. This is achievable if employees are allowed to access social media at work and are encouraged to share posts.
  • Identification of business opportunities. Through the use of social media, employees in charge of sales and business development can source new clients and build fruitful relationships.
There are many advantages to allowing access to social networks at the office. If you‘re hesitant to completely open the social media floodgates, try doing so in short periods, like the final three hours of the working day.

Every industry has their jargon. Acronyms can be confusing, and common terms can take on entirely different meanings when you venture outside your field. When it comes to evaluating ERP or CRM software, you’ll be well equipped with the following primer.

Start with the basics

ERP. Enterprise Resource Planning is a software system that manages the transactions and flow of data between all the business functions in an organization, including: financial management, human resources, manufacturing, supply chain management and project accounting.

CRM. Customer Relationship Management is a software system that manages the flow of data for a business’s sales, marketing and customer service functions.

XRM. A term used to describe the functionality of CRM to manage more than customer activity. XRM can be used to manage the flow of data for any definable entity. For example, XRM could be used to track and schedule the use of company equipment.

LOB. Line of Business applications are software systems that deliver functionality for a specific industry business requirement. LOB applications are often integrated with the ERP system, for example: an engineering firm uses a computer aided drawing application to calculate material requirements, which are then integrated into ERP for costing.

BI. Business Intelligence is the reporting of data from the ERP, CRM and LOB applications in a form that is useful to business decisions makers. BI applications can include dashboards and reports as well as charting and analysis tools.

Add-on Products. Most ERP applications manage the high level functionality that most organizations need, and depend on an ecosystem of development partners (see ISVs below) to create applications that manage special requirements. For example, an ISV might develop a warehouse management system specifically built for the beverage industry.

Service Providers

VAR. Value Added Resellers are professional service companies that specialize in the installation, configuration and training services supporting the implementation of ERP, LOB and CRM systems.

ISV. Independent Software Vendors are application development companies that create software to address specific industry or niche market requirements.

SI. System Integrators are professional services companies that help businesses integrate all of the systems in their organizations for a more holistic approach. SIs often have the capability to create custom applications that will integrate into enterprise ERP systems.

Partner. Includes VARs, ISVs, SIs and other service organizations that support a software vendor’s products. For example, Microsoft partners are members of the Microsoft Partner Network (MPN). The MPN program provides training and certification to their network of 640,000 partners.

MSP. Managed Service Providers are professional service companies that provide outsourced management of technical services for organizations. For example, an MSP may remotely manage a company’s in-house computer servers.

  • “The technician is on his way out to fix the printer.  We are having a sale on cartridges, would you like him to bring you out your usual order?”

Smartphones have been a part of our personal lives for a while now. It’s no surprise then that we are starting to also use them for business purposes. In fact, many of us already check our work email on our personal device. As smartphones become more powerful and popular, employees are wanting to “Bring Your Own Device” (BYOD). Is your company prepared for this?

When employees use their own device for work, it can be hard for their company to manage what the user is doing, after all it’s a personal item. Add to this the growing number of malware programs aimed at stealing information from devices, and you’ve got an issue that’s not going to go away anytime soon.

What Exactly is BYOD? BYOD came about when businesses began to assign laptops to employees for use at home or on the road. Companies quickly came to realize that the laptops were not as secure as the desktops at the office, and that employees were also using the laptops for personal use. To address this, companies introduced security measures and procedures to keep data on the laptops safe, while limiting personal use. This worked well until the introduction of the smartphone, which has now given employees the ability to access their office data on their personal devices, and has moved them off the machines provided by the company. Because of this trend, companies are being forced to examine or implement a BYOD policy.

Pros of BYOD The most obvious benefit of BYOD is the fact that the cost of the the technology is shifted from your company to the user. Think about it: no more costly hardware upgrades and minimal to nonexistent upkeep costs, thus bringing about significant savings.

The next upside to BYOD is user satisfaction. If your employees are allowed to use their own devices, they’ll generally be more satisfied with the systems they’re using, because they’ve already made the personal choice to buy that particular device.

There are some ancillary advantages to BYOD as well, including having employees on the most up-to-date systems, as many employees will buy newer, or top of the line models. The other advantage is that the usually slow update cycle can be exterminated, employees will be in charge of keeping their devices current, not the company.

Cons of BYOD As with all stories, there are two sides to this one. The biggest disadvantage of BYOD is that you’ll lose control of the hardware, and employees will generally be more reticent in allowing other employees to use their device.

Another major issue to overcome is usage policies. As employees will be using their own device, it’ll be harder to tell them what is considered acceptable use. As opposed to when employees are using company devices you can implement a fair-use policy.

The final negative side of BYOD is of what happens when an employee leaves your company? If they’ve been using their own device it can be a chore to get the data back, let alone establish who owns the data in the first place.

So What Can I do? If you take a step back and observe, you’ll notice that smartphones are becoming more and more mainstream, and while in the short term you could say no to personal devices at work, it won’t work in the long term. It would be beneficial if you developed a BYOD plan that clearly states your expectations, and has a usage policy regarding network and data use. You don’t have to implement it right away, but it’ll help to have the plan ready, for when you do decide to allow employees to use their own devices. You could also set up a trial with some employees, observe how they get on with the devices and reevaluate your position after the trial period.

You should also establish a set point of security measures that are not optional. This is particularly important for companies that operate under set data security mandates, e.g., mandates regulating data storage in relation to point of sale and credit systems. Methods of increasing security include software that must be installed, and basic security measures such as a locked screen, or regular data backup.

It is also important to establish a process for when an employee leaves your company. Set up a policy regarding who owns what data and the steps to be taken at the end of employment. If your employee uses a device with a removable memory card, you could set up a partition - mini non-physical hard-drive within the larger physical hard-drive - on the card where data from the business is to be stored, allowing for easy access and retrieval.

Should your company go BYOD, or abstain? Be aware that this is a major trend and in the near future employees will start to push to use their own devices at work, if they haven’t already. If you’d like help setting up a BYOD plan or more information concerning security measures, please contact us.

Remote operations, home-based workers and accelerating customer expectations are changing the way we do business. The business processes that supported one team in one location won’t provide the best support for the extended workplace. An ERP implementation provides a unique opportunity to take a new look at processes and refresh the whole organization.

The first step in redefining business processes is for each department to identify the tasks that require coordination and collaboration between multiple individuals or groups. Then, define the challenges of the current process – where is communication breaking down and what are the ramifications?

Remote employee training example Let’s use an example of a business that needs to train employees regularly on new products.  The review identifies the following problems at each step:

  • Coordinate attendance and logistics - Difficulty setting training dates without a number of scheduling iterations. Manual processes required to identify those employees who need training.
  • Travel to training - Loss of employee productivity by taking attendees away from their jobs. Increased burden on attendees to coordinate travel planning.
  • Evaluate performance - Attendee and instructor test scores manually consolidated from Word and analyzed in Excel.
Impact of the problems Once the problems have been identified, you can start on the path to correction.  It will be helpful to define the impacts of the problems, so that you can prioritize the importance. Impacts from our example would include:
  • Increasing time and resources required to coordinate training and logistics as the company grows.
  • Increasing costs of attendee travel as more employees require training.
  • Data entry errors resulting from manual processes.
With clear definitions of the problems you are experiencing and the impact on the business, you can begin to evaluate ERP solutions.  A spreadsheet or other template can help organize and communicate your findings. Working with an ERP partner, you can determine the best way to automate the processes that are really holding back your teams.

It’s hard to find someone who isn’t using social media in some way, or at the very least isn’t aware of its existence. Companies are becoming wise to this and are starting to utilize social media tools to build their brand, or bring in new customers. If your company does not use any form of social media, it may be time to look into getting your business out there.

Social media, once called a fad, has become the norm and is going to be with us for some time. A large number of companies already have an online presence, and are taking advantage of the benefits that social media can bring. Here are a number of things you can do to get your social media adventures underway.

Be Clear on Social Media It’s important that before you start looking into the different forms of social media that are out there, you are clear on what social media is, and what it isn’t. Social media is a way to meet people, and share content and ideas with them. For companies it’s a form of non-traditional marketing - think of it as soft marketing - it’s not meant to be the place where you flog your products, rather a place to develop interest in your company, so people will want to do business with you. By using social media you can show people who your company is, and connect with them on a more personal level. If you are clear on what social media is from the beginning, there’s a higher chance that you’ll be successful when you develop your online presence.

Before You Launch Into Social Media There are a number of things that your company needs to have either already done, or considered, before you jump in:

  • Have a website: It’s a good idea to have a solid website with information about your company, contact information, products and services. Most potential customers will look at your website after looking searching for you online, and before they choose to do business with you, so your website needs to provide the relevant information they are looking for. If you don’t have a website, or feel yours is lacking, it’s easier than ever to get a professional looking site. With a quick search you will be able to find some competent designers.
  • Get educated: It will be beneficial to educate yourself on current trends regarding social media. This can be done by simply going to social media websites, taking the free introduction tours and reading blogs related to the sites. Beyond that you should also research your competitors’ websites and Internet presence. Observe what content they have online, and more importantly: what they don’t have. It will also help to connect with and observe industry experts, see what they post online, and note the style and tone they use. This will help provide you with a sound knowledge base from which you can then create a more effective online presence.
  • Set goals: As with any step in business, you should have a plan with realistic goals. Aim for results that are achievable for your company. If you’re a small, local IT company that focuses on providing support for banks, don’t expect to have the same massive hype that Microsoft and Apple do. Clearly set objectives and review periodically.
  • Develop a focus: In real life, you can’t be all things to all people. The same goes for social media. You need to develop a focus on what type of online content you would like to share. You should aim to create content that your customers will want to share with people.
  • Stake a claim: You should to go to the main social media websites - Google+, Facebook, LinkedIn and YouTube - and reserve your personal and business usernames. This is important because it will make you look more professional by having the same username across all sites, and users will be able to find you easier.
  • Ask for help if you need it: While some companies make social media sound easy, it can be deceptively hard to master. If you feel lost, or are having a tough time with it, there are knowledgeable consultants out there who are happy to help.
Time to Get Social When you feel you know what direction you will take, it’s time to start developing your online profiles. It can be tough to decide which social media tools to utilize. Unfortunately there is no right answer. Most small businesses follow the crowd, and this means having pages on Facebook and Linkedin. This does not mean that you should join these networks simply because they have the most users. It is recommended that you follow what similar businesses or direct competitors are doing. If they are on one service but not another, do the same to begin with, but be on the lookout for new social media sites, or features being added to existing sites.

One Thing to Not Forget There is one really important thing we can share with businesses thinking of pursuing social media: it isn’t a turnkey operation. You can’t just, “set it and forget it.” To be successful, you need to be active by posting updates, news, and above all interacting with the people who reach out to you. After all, they are your customers. If you do establish your social presence but forget to keep it up to date, you will be the company that’s forgotten.
